Privacy Policy

This policy explains what ProTourBooking collects about you, why we collect it, who else can see it, and what you can do about it. It covers the website and our mobile apps.

1. Who we are

ProTourBooking is operated by Megalancer LLC, 123 Ash Ct, Columbia, MO 65203, United States. In this policy, "we" and "us" mean Megalancer LLC, and "you" means anyone who uses the service, whether as touring crew or as a production.

Megalancer LLC is the controller of the personal information described here. You can reach us about anything in this policy at privacy@protourbooking.com.

2. Information you give us

When you create an account we collect your name, email address, and password. If you sign in with Google or Apple, we receive your name, email address, and an account identifier from that provider instead of a password.

  • Profile details for crew: headline, home and secondary airport, years touring, roles, gear and consoles you operate, certifications and their expiry dates, tour credits, and a reel link.
  • Rate information: day, weekly, prep, travel, and per diem rates, along with your setting for who is allowed to see them.
  • Travel and work eligibility: whether you will travel domestically or internationally, passport country and expiry, US work authorization, visa notes, and CDL class.
  • Union information: whether you are a union member, which locals, and whether you accept non-union work.
  • Availability: the date ranges you post as open or unavailable, and any note attached to them.
  • For productions: company name, team details, and a logo if you upload one.
  • Messages you send to other users, and the content of holds you place or receive.

3. Sensitive information, and why we ask for it

Some of what we collect is more sensitive than typical account data. Passport country and expiry, US work authorization, visa notes, and union membership fall into this category. In some places union membership is treated as a protected characteristic.

We ask for these because they are the questions a production manager would otherwise ask you by phone before offering a booking. You choose whether to provide them. Leaving them blank does not prevent you from using the service, though it may mean you do not appear in searches filtered on those criteria.

We do not sell this information, and we do not use it for advertising or profiling.

4. Information we collect automatically

  • Your IP address at registration and at each login, and your browser user agent.
  • Approximate location derived from the country, state, city, or postal code on your account.
  • Timestamps for account activity, such as when you last logged in or were last active.
  • Records of devices you have marked as trusted, so we can recognise them on future logins.

We use this for security, fraud prevention, and diagnosing faults. We do not use third-party advertising trackers or session recording tools.

5. How we use your information

Where the law requires a legal basis, we rely on performance of our contract with you for the operation of the service, your consent for optional profile fields including the sensitive ones described above, and our legitimate interests in security and service improvement.

  • To run your account, authenticate you, and keep the service secure.
  • To show your crew profile to productions searching for people, subject to the visibility rules in the next section.
  • To deliver holds, availability changes, messages, and other notifications by email and in the app.
  • To operate paid subscription plans, including billing and renewal, where you have one.
  • To respond to support requests and to enforce our terms.
  • To meet legal obligations and to establish or defend legal claims.

6. Who can see your profile

Your crew profile is visible to signed-in productions using the service. Your rates are shown according to the visibility setting you choose: everyone, on request, or nobody. Rates set to on request or nobody are withheld from the public profile view.

Your posted availability, and whether particular dates are open, held, or booked, is visible to productions who view your profile. Productions can see that a competing hold exists on a date and which company placed it, because that is how the tiering works.

Productions can write private notes and flags about crew members. These are visible only to members of the team that wrote them and are never shown to the crew member or to any other company.

Accounts that are hidden, deleted, or banned do not appear in public profile views or search results.

7. Service providers

We share information with a small number of providers who process it on our behalf, only as needed to run the service.

  • Hetzner Online GmbH, which hosts our servers.
  • Cloudflare, Inc., which sits in front of the site for DNS, caching, and denial of service protection.
  • Postmark, operated by ActiveCampaign, which sends our transactional email such as hold notifications and password resets.
  • Google LLC, for optional Google sign-in and for reCAPTCHA on our authentication forms. Google receives information about your interaction with those forms in order to distinguish humans from automated abuse.
  • Apple Inc., for optional Sign in with Apple.
  • Stripe, Inc. and PayPal, Inc., which process subscription payments if and when you subscribe to a paid plan. Card details go directly to them and are never stored on our servers.

8. International transfers

Our servers are located in the European Union and our company is based in the United States, so your information will be transferred across borders in the ordinary course of running the service. Touring crew are frequently based outside the country their work takes them to, and the service is designed on that assumption.

Where we transfer personal information out of the European Economic Area or the United Kingdom, we rely on the European Commission Standard Contractual Clauses or an equivalent safeguard.

9. How long we keep it

We keep your account and profile information for as long as your account is open. If you delete your account, we remove your profile, availability, and gear, certification, and credit entries.

Records of holds and messages exchanged with other users are retained where another party has a legitimate interest in that record, for example a production that booked you for dates that have not yet passed. We also keep whatever we are required to keep for tax, accounting, and legal purposes, which is generally seven years for billing records.

Backups are retained on a rolling basis and are overwritten in the ordinary course.

10. Your rights

Depending on where you live, you may have some or all of the following rights. We honour these requests regardless of where you are based.

  • Access a copy of the personal information we hold about you.
  • Correct information that is inaccurate or incomplete. Most of it you can change yourself in your profile and settings.
  • Delete your account and the personal information associated with it, subject to the retention exceptions above.
  • Object to or restrict certain processing, and withdraw consent for optional fields at any time by clearing them from your profile.
  • Receive your information in a portable, machine-readable format.
  • Complain to your local data protection authority.

11. Selling and sharing

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We have not done so in the preceding twelve months.

12. Security

Passwords are stored hashed, never in plain text. Traffic to the site is encrypted in transit. Access to the production database is restricted to the people who operate the service.

No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities where the law requires it.

13. Children

The service is not intended for anyone under 18, and we do not knowingly collect information from children. If you believe a minor has created an account, contact us at privacy@protourbooking.com and we will remove it.

14. Changes to this policy

If we make a material change we will update the date at the top of this page and, where the change significantly affects how we handle your information, notify you by email or in the app before it takes effect.
